I can’t count the number of times that a new client has said to me, “Our website is really just an online brochure. Proof that we exist if someone were to look us up.”
I cringe every time I hear these statements. Too often, businesses settle for a website that merely confirms their existence. But in 2025, this mindset is a missed opportunity. Your website should be a tool for attracting traffic, generating new leads, and driving sales. If it isn’t performing these essential functions, it’s not just underperforming—it’s holding your business back.
But launching a stellar website that addresses these needs is just the beginning of keeping your brand competitive online. The saying, “Build it and they will come,” is a dangerous myth in marketing – and certainly not one that applies to digital marketing. Websites require continuous optimization, promotion, and strategic refinement to drive meaningful results.
So why exactly do websites fail? The answer is usually that they’re “passive” websites. Meaning that they fall victim to one of these three areas:
- Visibility Gap: Without ongoing SEO, content updates, and technical optimization, your site becomes invisible to search engines and potential customers.
- Conversion Stagnation: Static sites lack the dynamic elements (e.g., A/B testing, personalized CTAs) needed to turn visitors into leads.
- Competitive Disadvantage: Rivals with data-driven strategies will outrank and outperform you, capturing your audience.
Now, I could write a novel on each of these areas. However, for the purpose of this article, I would like to address the importance of website maintenance for business websites, including a worst-case scenario that we’ve personally experienced at Excite. The good news is that these horror stories are completely avoidable—if you’re keeping up with your website maintenance.
Why Website Maintenance Matters
For most businesses, your website will serve as the first impression of your company. And we’re all human, whether we like to admit it or not, we judge based on first impressions. Within seconds of landing on your site, visitors are making critical decisions about your professionalism, credibility, and trustworthiness. A modern, well-designed website signals that you are attentive to detail and invested in your brand, while an outdated or clunky site can instantly undermine confidence and send potential customers elsewhere.
This initial perception influences everything that follows: Will visitors stay to learn more or bounce to a competitor? Will they trust your expertise enough to fill out a form, make a purchase, or schedule a consultation? Your website’s design, speed, clarity, and content all play decisive roles in shaping these snap judgments.
You’ll rarely get a second chance to make a first impression. That’s why maintaining a polished, up-to-date, and user-friendly website isn’t just about aesthetics—it’s a fundamental part of your brand’s competitive strategy.
So What Goes into Website Maintenance? And What Should Your Business Be Doing?
Website maintenance is an ongoing process that ensures your site remains secure, functional, and effective at meeting your business goals. It’s not a set-it-and-forget-it task. Regular weekly attention is necessary to maintain a sharp and competitive digital presence.
Here are the core components every business should prioritize:
- Security Updates: Regularly update your website’s software, plugins, and security certificates to protect against cyber threats and data breaches.
- Performance Checks: Monitor site speed, uptime, and mobile responsiveness to ensure a seamless user experience.
- Content Refreshes: Update blog posts, product pages, and company information to keep your content relevant and valuable for both users and search engines.
- SEO Optimization: Continuously refine keywords, meta tags, and internal linking to maintain or improve your search rankings.
- Backup and Recovery: Schedule frequent backups to protect your data and ensure it can be quickly restored in the event of an emergency.
- Design and UX Improvements: Periodically review your site’s design and navigation to align with current trends and evolving customer expectations.
- Compliance and Accessibility: Ensure your website meets legal requirements for privacy, accessibility, and industry regulations.
By consistently addressing these areas, you not only protect your investment but also position your brand as trustworthy, professional, and ready to serve your customers, no matter how technology or user expectations evolve.
A Web Maintenance Case Study: A Horror Story Edition
Buckle up. This section is going to get a little rocky.
It’s not unusual for a company to attempt to handle all the components listed above in-house (if at all). Budgets are tight, so an opportunity to save a little money is attractive. Or, the idea that you’ll tackle these pieces later – how important can they really be? The case study below highlights just how important it really is.
The Case of the Missing Website
At Excite, we respect a client’s desire for autonomy. Many businesses prefer to manage their own web hosting and domain registration, and we’re always happy to work within those parameters. However, this approach comes with significant responsibilities—and, as this real-world example shows, the consequences of neglect can be devastating.
Background
Our clients, a pair of successful book authors with careers spanning more than twenty years, had published numerous titles together, each listing the same website address on the back cover. When we built and launched their new site, they specifically chose to manage their own hosting and domain registration. We fully supported this decision by providing all the necessary documentation and guidance for a smooth handover. From that point forward, the responsibility for site maintenance, hosting, and domain renewals rested with the client.
What Went Wrong
The clients loved their website and, believing “if it’s not broke, don’t fix it,” did not perform any software or security updates for more than eight years. While they continued to add new content, they overlooked routine maintenance tasks. Eventually, their web hosting lapsed due to an expired credit card with their web host. Without renewal, the hosting provider terminated the account, deleting all website files, images, and content, none of which were backed up outside of the original launch version we had provided.
To make matters worse, the clients also allowed the domain name to expire. While there is typically a brief grace period after expiration, the domain was not renewed in time and was quickly acquired by a Chinese gambling company. All the links in their books now pointed to an unrelated—and potentially damaging—destination.
The Fallout
The impact was severe. The authors’ official website was gone, and their brand suffered as readers searching for their work encountered a gambling site instead. Because hosting and domain management were outside Excite’s scope, we were unable to restore the site or reclaim the domain. The only backup available was the original version from launch, and the domain was now permanently lost to a third party.
This scenario is more common than many realize. Domains are valuable digital assets, and expired domains are quickly scooped up by opportunistic buyers or automated bots. Once a domain is lost and acquired by another party, reclaiming it can be expensive, time-consuming, or impossible.
Important Takeaways
- Website and Domain Are Business Assets: Treat your website and domain like any other critical business asset. Losing them can have the same impact as losing your physical storefront or business phone number.
- Set Up Safeguards: Enable auto-renewal, keep backup credit cards on file, and maintain up-to-date payment information.
- Monitor Expiration Dates: Mark renewal dates on your calendar and set reminders well in advance.
- Back Up Your Website: Regularly back up your website files and database, and store copies in multiple locations.
- Consider Professional Management: If you don’t have the time or expertise to manage these assets, Excite offers managed hosting and domain services. With Excite, you benefit from timely renewals, regular backups, site monitoring, and all necessary software updates for WordPress and plugins—keeping your site safe, secure, and running smoothly.
While self-management can offer flexibility, it places all responsibility for renewals, backups, and security on your shoulders. If you miss a renewal or fail to back up your site, the consequences can be irreversible. In this case, Excite was not responsible for ongoing maintenance, hosting, or domain management and was unable to intervene once the client’s assets lapsed.
Don’t Let Your Website Become an Afterthought or a Cautionary Tale.
Your website should be a living, evolving asset—one that works tirelessly to attract new customers, build trust, and drive business growth. The risks of neglect are real, but they are entirely preventable with the right strategy and support.
At Excite, we believe your website deserves ongoing attention and expert care. Our managed services ensure your site stays secure, up-to-date, and performing at its best—so you never have to worry about missed renewals, security lapses, or lost opportunities.
